Case study
An inventory system that runs itself, for a business with over 100 products.
A growing manufacturing client was running inventory the way growing businesses typically do: by memory, by spreadsheet, by whoever happened to check the shelf last. Orders got confirmed against what people remembered stocking, not what was actually there.
The problem
Over 100 products, no single system tracking what came in, what went out, and what a client actually ordered against what was available. The owner was the one holding it together, which meant the owner couldn't step away from it.
What we built
A Telegram based executive assistant bot that manages and organizes the inventory directly. It keeps record of stock across every product, and when an order comes in, it checks what was actually ordered against what's actually available before anything gets confirmed. Stock now gets tracked in the system instead of relying on someone's memory of what's on the shelf.*
*For privacy reasons, this is a quick demo of what we created for our clients. Names and details have been changed.
The result
Quality hours back for the owner, hours that go back into growing the business instead of babysitting the shelf, plus a system that holds whether the owner is in the room or not. That's the part that actually mattered: not that it moved faster, but that it no longer needed the founder to keep it accurate.
We also rolled these tools out to the VAs and everyone else working inside the company. Anyone on the team can now manage the system directly, so the business can scale without going back to the client for every answer. That cut out a lot of the back and forth across the whole team and the system.
If a piece of your business only works because you're the one holding the details in your head, that's the pattern this fixes.
