Privacy Policy

Last updated: October 9, 2026

This policy explains what personal information Build & Chill collects through buildchill.com, why we collect it, who we share it with, how long we keep it, and what you can ask us to do with it. It is written in plain language on purpose.

Who we are

Build & Chill is operated by Build & Chill Incorporated, a company based in Ontario, Canada. For the purposes of Canadian privacy law we are the organization responsible for the personal information described here. Under the EU and UK GDPR we are the data controller. Both of our founders can access enquiries and bookings made through this site. Build & Chill Incorporated is responsible for the personal information described here, and Daniel Tran and Lewis Le are the individuals accountable for our compliance with this policy and with privacy law; privacy questions and requests go to them at admin@buildchill.com.

You can reach us about anything in this policy at admin@buildchill.com.

What we collect

Information you give us. There are two forms on this site, and both are optional to use:

  • Contact form (/contact): your name, email address, business name if you choose to give one, and whatever you write in the message field.
  • Booking page (/booking): your name, email address, the date and time you select, and any notes you add.

Information collected automatically. Our hosting provider keeps standard server logs when a page is requested. These include your IP address, the page requested, the time of the request, and basic browser and device information. We do not use these logs to build a profile of you. They exist so the site can run, and so we can investigate errors and abuse.

What we do not collect. We do not use analytics scripts, advertising pixels, or tracking cookies on this site. We do not sell, rent, or trade personal information to anyone, and we never will. If we ever add analytics, this policy will be updated before that change goes live, and we will seek consent where the law requires it.

Why we collect it, and our legal basis

  • To reply to you and to arrange, confirm, and hold a call you have asked for. Under the GDPR this is processing necessary to take steps at your request before entering into a contract. Under Canadian law this is done with your consent, which you give by submitting the form.
  • To keep the site working and secure, including spotting errors and blocking abuse and spam. Under the GDPR this is our legitimate interest in running a functioning, secure website.
  • To keep a record of who we have spoken to and what was discussed, so a later conversation does not start from nothing.

We do not use your information to make any automated decision that produces a legal or similarly significant effect on you.

Marketing email

Submitting a form on this site does not sign you up to a mailing list. If we ever send you commercial email beyond replying to you and arranging your call, it will be because you asked for it or the law otherwise permits it, it will identify us clearly, and it will carry a working unsubscribe link. You can tell us to stop at any time by replying or emailing admin@buildchill.com, and we will act on that within ten business days.

Who we share it with

We use a small number of service providers to run this site. Each one receives only what it needs, and none of them are permitted to use your information for their own purposes:

  • Vercel hosts the site and produces the server logs described above.
  • Resend delivers the notification email to us when you submit either form. That email contains what you entered.
  • Google Calendar receives your name, email address, chosen time, and any notes when you book a call, so the event and your invitation can be created. The event is visible to the person at Build & Chill you are booking with.

We may also disclose information if we are required to by law, or where it is necessary to establish or defend a legal claim.

Where your information goes

The providers above are based in the United States, so your information is stored and processed outside Canada and outside the European Economic Area. While it is there it is subject to the laws of that country, including lawful access by courts and public authorities. We rely on the safeguards those providers offer, including standard contractual clauses where they apply. If you would rather not have your information handled this way, email us directly instead of using the forms.

How long we keep it

  • Form submissions and the emails they generate: up to 24 months from our last contact with you, unless you ask us to delete them sooner or we still need them for an active engagement.
  • Calendar events: up to 24 months from the date of the call.
  • Server logs: retained on a short rolling basis by our hosting provider, typically no more than 30 days.

Where we are required to keep something longer for tax or legal reasons, we keep only what that obligation requires.

How we protect it

The site is served over an encrypted connection. Access to the inbox and calendar holding your information is protected by strong authentication and limited to people who need it. No method of transmission or storage is completely secure, so we cannot promise absolute security, but we do not treat that as a reason to be careless with what you give us.

Your rights

Wherever you are, you can email admin@buildchill.com to ask what we hold about you, to have it corrected, or to have it deleted. We will respond within 30 days.

If you are in Canada, you have the right to access the personal information we hold about you, to challenge its accuracy, and to withdraw your consent, subject to legal and contractual limits.

If you are in the EEA or UK, you additionally have the right to restrict or object to processing, the right to receive your information in a portable format, and the right to withdraw consent at any time without affecting processing carried out before you withdrew it.

If you are in California, you have the right to know what personal information we collect and why, to request its deletion, and not to be discriminated against for exercising those rights. We do not sell or share personal information as those terms are defined under California law.

Children

This site is aimed at people running businesses and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, email us and we will delete it.

Complaints

If you think we have handled your information badly, tell us first at admin@buildchill.com so we can try to put it right. You can also complain to a regulator. In Canada that is the Office of the Privacy Commissioner of Canada. In the EEA or UK it is your local data protection supervisory authority.

Changes to this policy

We may update this policy as the site or the law changes. The date at the top shows when it was last revised. Where a change materially affects how we use information you have already given us, we will take reasonable steps to tell you before it takes effect.
